“Getting Started”
Overview
Step 1: Go to the CondoCerts login page at www.condocerts.com. Click the "sign up" (First time User button to sign up for our services).
Step 2: “Choose a company type”. Select the Lender Agreement and then click on “View Agreement”. As with most service providers, CondoCerts does not provide this information for free. There is no cost to sign up or log onto the site. The only charges incurred are for obtaining specific information. The system is set up to be user friendly and to prevent the downloading of unwanted information. The information can be paid for in several different ways. Business or personal accounts can be set up to bill direct, use credit card or manual checking. CondoCerts reserves the right to approve all lenders requesting the monthly billing option!
Step 3: “Enter your Account Information”. You will need to enter your company information, primary contact information. Upon completion of the account information, you will be given a UserID and be prompted for a password. Write down the UserID and password, as it is required for access to the CondoCerts system. Upon password submission, a CondoCerts representative will contact you by email to activate your account within 24 hours in the worse case.
Step 4: Upon activation, you are now ready to use the system. At the “Control Center” you have the following options:

Project Questionnaire – typically, this will be the most frequently used option as this provides the project questionnaire letter and project documents. (see below).

Update Questionnaire – order one free update of the questionnaire within 90 days.

Quality Control – order a quality control review of certifications already printed or to investigate historic project data.

View Account Status – to monitor the monthly billing charges.

Change Password – ability to change your password as needed.
Background
Project Questionnaire:
Both Fannie Mae and Freddie Mac accept the Project Questionnaire. Our Project Questionnaire are printed with the most current update date right on the letter. In addition, Lenders will see on the website when the last project update was posted. Management firms and Homeowners Associations are required by contract to update project information every ninety days. If the Promissory Note date for a specific loan is over ninety days from the last project update, lenders may order a one-time free update for the subject loan insuring that the project data is current.
Project Documents:
Following is a list of document options that we offer on the web site with a brief description of what we include in those options.
CC&Rs: We will post the recorded CC&Rs and any amendments to them in this document group.
Bylaws: The Bylaws of the association with any amendments are here.
Articles of Incorporation: The state approved Articles of Incorporation for the association is required here.
Board Minutes: We will post the most recent twelve months board minutes for each association if available.
Financial Documents: Typically, management firms will store annual budgets, current year-end financials, reserve study summaries and a current monthly financial statement.
Rules and Regulations: A current copy of the board approved Rules and Regulations will be stored here. Additionally any special notices to HOA members may also be stored here.
Current Insurance: A copy of the project’s blanket coverage declarations page and any fidelity bond coverage will be stored here.
Litigation Documents: Any litigation documentation is posted here.
Lease/Sub-Lease: Projects that are on leased land, we will post a copy of the lease and sub-lease to our site. Lenders must review the leases if the project is not fee simple ownership.
Conversion Documents: Projects that are conversions of apartments, commercial space or single-family homes into condominium developments. Engineering reports or condominium plans for project conversions can be stored in this section.
Reserve Reports: A full copy of the last reserve study completed. Those studies may be posted here.
Resale Disclosure Forms: Many management firms have developed project specific custom resale disclosure forms that need to be completed for unit purchases. These forms can be stored here for delivery in a PDF format for your users.
